Q: when is the ticket issued for students enrolled at the programme?

A: A ticket order (Erkab) must be requested a month before each visit.

Q: How long does it take to get a refund of the visa fees?

A: The student can apply for the visa fees refund after returning from the visit.

Q: What if the date of the requested visit was rescheduled - due to certain out of control circumstances- to another date that passes the visa expiry date?

A: If your visa is expired, you will have to start the procedures all over again.

Q: Is it allowed to change a co-supervisor or have another one?

A: The approval of this is based on the reasons and justifications provided which must be approved by the General Supervisor of the EJSP, as well as the department and the college of the student (whether the supervisor was from within KSU or outside). In addition to this, recommendations of the external university of the external supervisor are also taken into consideration.

Q: Who is responsible to coordinate where should meetings take place during the visit of my external supervisor?

A: If the external supervisor was going to meet the administrative staff of the programme, then the EJSP Public Relations will coordinate the meeting. If the meeting was in the college of the student, then the student has to coordinate the meeting.

Q: Who is responsible for following-up the annual financial guarantees?

A: The student should request the financial guarantee through the e-portal of the Saudi Cultural Bureau (Safeer Integrated System).

Q: Is there a certain allowance for the student housing when visiting the country of the external university?

A: No, no housing allowance is provided.

Q: Is the student granted a full study time leave?

A: No, the student is given a partial study time leave.

Q: Is the student compensated for the visa fees for the purpose of attending a conference outside Saudi Arabia?

A: No, the student has to pay the visa fees herself.

 Q: What are the reports that must be submitted to the administration of the programme?

A: The reports that must be submitted annually are:

 - The Student Progress Report which must be submitted twice a year by the student and the internal and the external supervisors (6 reports per year)

- Report of the visit to the external university after each visit. This should by completed by the student and the internal and external supervisors.

- Report of attending a conference.

- Report of presenting in a symposium/lecture in the student’s department.

• The study plan which should be completed by the external supervisor (to be sent once only when the student starts the programme).
